TECHNOLOGY USE NOTIFICATION
IDAHO FALLS SCHOOL DISTRICT #91 TECHNOLOGY USE NOTIFICATION
The purpose of this Technology Use Notification is to describe the responsibilities and privileges of users of Idaho Falls School District 91’s technology resources, referred to here as “D91Net.” Idaho Falls School District 91 (D91) provides technology resources for the educational and professional benefit of its students and staff. Commercial use, such as promoting or advertising any business, is strictly prohibited. D91Net may not be used to promote or solicit for any political or charitable cause or organization unless it is a District 91 or school‐approved cause.
The District’s Board Policies on Technology govern the acceptable use of technology, regardless of whether those policies are explicitly spelled out in board policy.
Students and staff are required to comply with D91 technology policies in order to use the District’s technology resources. D91 administration, faculty, and/or staff reserve the right to deny or suspend User access if the User breaks the terms of technology policies. Severe infractions may result in termination of employment or school expulsion. The user will be informed of the suspected violation and given an opportunity to present an explanation. Users may request a review hearing of a building administrator within seven (7) days of such suspension or termination.
INTERNET SAFETY:

To promote the safety and security of users of D91Net, and to ensure compliance with the Children’s Internet Protection Act (CIPA), blocking and filtering protection measures and security controls are used to the extent practical. Educators may request approval for Technology Services staff to unblock access to sites containing material that is appropriate for valid educational purposes. Parents/guardians may sign a form that requests the student not to participate in the use of the Internet. The form “Student Internet Access Restriction Form” is available on the District website.

D91 does not condone or permit the use of materials which are defamatory, abusive, obscene, profane, sexually-oriented, threatening, racially offensive or illegal, and User may not knowingly bring such materials into the school environment. System administrators and Idaho Falls School District 91 do not have control of information residing on other systems.

Students’ and employees’ home and personal Internet use can have an impact on the school and other students and employees. If personal Internet expression – such as a threatening message to another person, or a violent website – creates a likelihood of material disruption to the school’s or District’s operations, the User may face disciplinary action and criminal penalties.
PRIVACY:
Personal information about any student or staff member should be assumed to be confidential, and the user should never disclose or transmit such information via D91Net except in strict compliance with the law and District policy. However, users should not expect that files and information will always be private. System operators have access to stored data including e‐mail, and sophisticated or privileged users on the network may gain access to such data. System administrators will not intentionally inspect the contents of personal files or e‐mail, or disclose such contents to other than the author or an intended recipient, without the consent of the author or intended recipient, unless required to do so by law or policies of D91 or to investigate complaints regarding data which is alleged to contain impermissible material. System administrators reserve the right to monitor all activity on D91Net and to cooperate fully with Idaho Falls School District 91, local, state, or federal officials in investigations concerning any data stored on or transmitted via D91Net.
INFORMATION CONTENT & USES OF D91NET:
Opinions, advice, services, and all other information expressed by users, information providers, service providers, or other third‐party personnel on D91Net are those of the user or provider and not necessarily of District 91. System administrators or their designees reserve the right to refuse storage or posting of files or information and to remove files or information in order to comply with District guidelines and policies and to maintain the integrity and availability of D91Net. System administrators reserve the right to set quotas for storage on D91Net. Users may be required to use removable media for the storage of data rather than network resources.
Users of D91 Technology shall:
Use the technology equipment and services for educational purposes, not for personal or commercial business on district time, nor any illegal purpose, nor any other activity prohibited by District policies or guidelines.
No student use of D91Net unless under instructor supervision and with permission of school personnel, for educator‐approved purposes; no use for recreation and entertainment.
No student use of direct communications such as instant messaging or online chat during class time or on D91Net except under the direct supervision of teaching or administrative staff for educational purposes.
Be responsible at all times for proper use of accounts: Use only assigned accounts and keep passwords confidential; NO STUDENT USE OF STAFF ACCOUNTS. Not permit others to use accounts for which I am responsible. Prevent unauthorized use by logging off of or locking any computer that I am not directly monitoring.
Not use D91Net for copyrighted or licensed material without permission, recognizing that it is illegal. Not plagiarize (use another person’s work without permission and attribution).
Respect and practice community principles and ethics: Use polite communication; no harassment or bullying, or abusive, vulgar, or inappropriate language. Not intentionally access, transmit, copy or create any defamatory, inaccurate, abusive, obscene, profane, sexually oriented, threatening, racially offensive, or illegal material; and to immediately report accidental access to a teacher or administrator. Avoid material on the Internet that does not relate to educational pursuits. Not transmit materials, information, or software in violation of any local, state, or federal law.
Conform to all D91 Board policies regarding technology use while using D91 technology resources.
MFA:
As part of our ongoing efforts to protect student and staff data, District 91 requires Multi-Factor Authentication (MFA) for all teachers and staff.
Multi-Factor Authentication adds an additional layer of security by requiring users to verify their identity when signing in. This helps protect district accounts even if a password has been compromised.
While MFA significantly improves account security, it is only effective when used properly. Users should never share their username or password and should only approve MFA requests they personally initiate. Approving unexpected authentication requests may allow unauthorized access to district systems and sensitive information.
MFA helps protect against common cyberattacks, including:
- Brute force password attacks
- Password guessing attempts
- Phishing attacks involving compromised credentials
By requiring access to a trusted device, such as a mobile phone or security key, MFA provides an additional safeguard against unauthorized access.
MFA Requirements
All District 91 employees must enroll in and use MFA for district accounts and services where required by the Information Technology Department.
Approved MFA methods include:
- Microsoft Authenticator application (preferred method)
- YubiKey hardware security key
Microsoft Authenticator is the preferred authentication method due to its ease of use, security features, and account recovery options.
Employees who are unable or unwilling to use a mobile device for MFA may request a YubiKey hardware security key as an alternative authentication method. Employees issued a YubiKey will be required to sign an acknowledgment confirming responsibility for the device. Lost or damaged YubiKeys may require replacement at the employee’s expense.
District systems may require users to reauthenticate approximately every 12 hours, which typically results in MFA verification once per workday. Additional authentication requests may occur due to password changes, signing in on a new computer or web browser, new device sign-ins, location or risk-based sign-in detection, or security policy updates.
Employees are responsible for maintaining control of their authentication device, protecting their district credentials, denying unexpected MFA prompts, and immediately reporting suspicious authentication activity to the IT Department.
Failure to comply with MFA requirements may result in loss of access to district systems.
Artificial Intelligence (AI) Use:
1. Introduction
The integration of Artificial Intelligence (AI) platforms in education presents opportunities for enhanced learning experiences and administrative efficiencies. However, it also necessitates guidelines to ensure ethical, responsible, and effective use. This information outlines the allowed uses of AI platforms within Idaho Falls School District 91’s K-12 classrooms.
2. Objectives
Promote the beneficial use of AI in enhancing educational outcomes.
Ensure the ethical use of AI, protecting student privacy and data security.
Provide clear guidelines for educators and students on the acceptable use of AI technologies.
3. Scope
This information applies to all K-12 schools within the district and encompasses all AI platforms used in classrooms, including AI-driven software, applications, and online services.
4. Definitions
AI Platform: Any software, application, or service that utilizes artificial intelligence technologies to perform tasks that typically require human intelligence.
Educators: Teachers, administrative staff, and other personnel involved in the educational process.
Students: Individuals enrolled in K-12 schools within the district.
5. Acceptable Uses
AI platforms may be used in the classroom for the following purposes:
Personalized Learning: Tailoring educational content to meet individual student needs, including adaptive learning programs and personalized tutoring.
Administrative Efficiency: Automating routine administrative tasks such as grading, attendance tracking, and data management.
Data Analysis: Analyzing educational data to identify trends, assess student performance, and inform instructional strategies.
Important: Reach out to your Consulting Teacher before including any AI-related statements in a student's IEP. Reach out to the district’s Safety Coordinator before including any AI-related statements in a student's 504 plan.
6. Ethical Considerations and Privacy
Data Privacy: AI platforms must comply with all federal, state, and local data privacy laws and regulations, including FERPA (Family Educational Rights and Privacy Act). Any data collected must be anonymized and securely stored.
Informed Consent: Parents and students must be informed about the use of AI technologies and provide consent where required. Clear communication about the types of data collected and its intended use is mandatory.
Bias and Fairness: AI platforms should be regularly evaluated to ensure they do not perpetuate or amplify biases. Efforts must be made to select and implement AI tools that promote equity and inclusiveness.
Transparency: The functionality and decision-making processes of AI platforms should be transparent. Educators and students should understand how AI tools operate and how decisions are made.
7. Approval Process for New AI Platforms
All new AI platforms intended for use within the district must undergo an approval process. The steps are as follows:
Submission of DO: Curriculum Resource Request Form: Staff must submit the Curriculum Resource Request Form within Laserfiche, providing details of the AI resource, including its intended use, benefits, and any data it collects. The form can be found by logging into your Single-Sign On account, selecting Laserfiche, selecting Start Process, and finally by clicking on DO: Curriculum Resource Request Form.
Evaluation: The proposed AI platform will be vetted by the district’s IT department and relevant district personnel to assess compliance with data privacy laws, ethical considerations, and educational value.
Approval/Denial: The AI resource may be approved or denied based on the evaluation results. Reasons for denial may include non-compliance with privacy laws, potential bias, insufficient educational benefit, or security concerns.
Notification: Staff will be notified via the Laserfiche DO: Curriculum Resource Request process of the approval or denial of the AI platform and provided with feedback if denied.
8. Responsibilities
District Administration: Ensure compliance with this policy, provide resources for training and support, and regularly review the policy to address emerging technologies and issues.
The district’s technology department will maintain a posted list of approved and denied AI applications on the district website.
Educators: Integrate AI tools responsibly into the curriculum, maintain awareness of ethical implications, and ensure the protection of student data.
Students: Use AI tools responsibly, adhering to guidelines provided by educators, and respect the privacy and rights of peers.
9. Training and Support
The district provides limited ongoing professional development for educators on the use of AI platforms, including best practices, ethical considerations, and troubleshooting.
Support resources may be made available to assist educators in the integration of AI technologies into their teaching practices.
10. Monitoring and Evaluation
The use of AI platforms will be regularly monitored to assess their impact on educational outcomes, data privacy, and ethical considerations.
Feedback from educators, students, and parents may be solicited to inform continuous improvement of AI integration in the classroom.
11. Review
This information will be reviewed annually by designated stakeholders to ensure its relevance and effectiveness in the evolving educational landscape.
